The hidden complexity of our time

Have you ever wondered why, despite all the time management apps, smart calendars, and efficient planning methods, you still feel like time is becoming increasingly scarce? The reason is often not a lack of time, but its increasing complexity.

Our world is full of options, commitments, and distractions, so simplifying your time structures may be the most effective way to regain control of your time—and thus your life.

What does it mean to simplify time?

Simplifying time does not mean doing less. It means doing the right things—with clear structures that help you make decisions and set priorities. It's about identifying and eliminating the invisible time wasters that unnecessarily complicate your life.

Werner Tiki Küstenmacher, who has inspired millions of people with his bestseller “Simplify Your Life” sums it up: "Simplification is not synonymous with sacrifice. Rather, it is a gain in quality of life through conscious reduction to the essentials."

This philosophy can be applied perfectly to how we use our time. Simplifying time means getting rid of the ballast that prevents us from using our time the way we really want to. The three levels of time simplification

The three levels of time simplification

1. Structural simplification

Start by simplifying your time structures. Take a critical look at: your calendar: Is it overloaded with small appointments that fragment your day? Your routines: Are there too many or too complicated processes in your everyday life?

Your decision-making processes: How much time do you spend weighing up options? A clear time structure with larger blocks instead of fragmented units of time creates space for concentration and depth. For example, try to bundle similar tasks and reserve larger time slots for them instead of jumping back and forth between different activities.

2. Mental simplification

Our mental attitude is often more complex than necessary:

  • We live simultaneously in the past (brooding), the present (current tasks), and the future (worries, plans).
  • We carry mental lists around with us that absorb energy.
  • We struggle with unrealistic expectations of our achievable productivity.

3. Digital simplification

Practical steps to simplify time management

The 80/20-time filter

Practical tip1: Apply the Pareto principle to your time: Identify the 20% of your activities that bring you 80% of your results and satisfaction. Focus your energy on these core areas.

Ask yourself:
Which few activities bring me the most joy? Which tasks generate the most value? In which moments do I feel truly alive?

The Time-Simplification Checklist

  • Eliminate activities that bring neither joy nor value
  • Reduce meetings to what is essential and define clear time limits
  • Simplify decision-making processes through clear criteria
  • Create routines for recurring tasks
  • Delegate or automate whatever is possible
  • Schedule intentional breaks and transitions between activities

Practical tip 2: Introduce a “single-tasking day” on which you consciously complete only one task after another—without any parallel activities.

This isn't always possible, but here's a trick that helps in many work situations: behave towards yourself and those around you as if you were on a business trip for the day. Then you won't always be available to talk.

  • Two routines, that you can simplify
  • One time structure, that you want to make clearer

This simple exercise can be the beginning of a profound transformation of your sense of time.

Paradoxically, simplifying your time leads to a richer life. If you have the courage to leave out the unimportant, space is created for what is truly meaningful:

  • deeper conversations instead of superficial communication
  • concentrated work instead of hectic multitasking episodes
  • conscious experience instead of mindless consumption
